Job Summary: The Customer Service & Sales Coordinator will be handling the incoming enquiries & leads in the customer service department and responding effectively.
Key Duties and Responsibilities:
Handling all kinds of correspondence via emails, letters, fax, telephone, and attending to walk in clients.
Assisting Sales people at all times with documentation, samples, client calls and follow up.
Coordinating with various departments for approvals, purchase requisition status and delivery of materials.
Preparing quotations, sales orders, purchase requisitions, proforma invoices, material return approval documents, refund and sample requisitions.
Attending to customer queries with pending issues, material exchange, returns, credit notes, refunds, snag works.
Matching and proposing alternatives for products that are not from our collections.
Updating client database from time to time by calling or emailing clients.
Working closely with the sales department by keeping them updated with regards to status of order.
Replying effectively to emails from customers with queries, complaints, escalating technical issues to the concerned department.
Preparing weekly reports, monthly and annual reports as required by the sales people and HOD.
Emailing the site inspection reports to clients along with the quotation & proforma invoices.
Emailing stock positions, images, scanned documents, technical data sheets, statements of accounts, prices, etc to clients are requested.
Making reservations for materials that are in stock, checking availability in the factory and report to clients.
Checking availability of products from manufacturers online or email.
Assisting and handling other colleague’s job while they are on short leave or vacation from sales/indoor sales department.
Assisting the sales department by providing timely responses to the enquiries of their set of clients.
Take care of day to day coordination and all other work as assigned by the HOD.
Qualifications, Skills and Experience:
The applicant must hold a Bachelor’s Degree in any discipline
Five years of Customer Service and Sales Coordination, preferably from Interiors industry
ERP knowledge is a must
CRM knowledge is preferred
Candidates with Working Knowledge of Graphic Design will be given priority
