Job Title:  UAE Event Executive

Job Summary: The UAE Event Executive will pilot all UAE events project management, coordination  and execution.


Key Duties and Responsibilities:

UAE Event Project Management, Coordination and Execution

  • Lead the development, production and delivery of Retail event projects from proposal right up to delivery.
  • Delivering events on time, within budget, that meet or exceed expectations.
  • Full monitoring of timeline with anticipation: setting, communicating and maintaining timelines and priorities on every project
  • To create clear and inspiring briefs to supplier: propose ideas for event concept, content, format
  • Be the communication facilitator via efficient and constructive coordination with HQ, other departments, external suppliers to channel and dispatch the relevant info (event program, scheduling, task management…)
  • Ensure flawless construction, installation and dismantle phases, (monitor quality & progress of work)
  • Ensure the execution of visual aspects of each activation: flowers, portrait frames, books…
  • Ensure the management of models / hostesses (schedule, hair, MU, dresses)
  • Coordinate with Supply Chain team, Free Zone team & other suppliers for the transfer of furniture & events related inventory to events and from event to final destination
  • Coordination & follow up on obtaining permits from various organizations (malls, authorities, facilities, etc.) to ensure events can take place in the set time frame
  • Apply Richemont Security guidelines and ensure event is set and organized according to the updated procedures of the group
  • Be in control of budget per project: timely follow up on invoices and clearly track the budget sheets
  • Continuously create and upgrade relevant processes/guidelines to optimize efficiency (out of boutique and in-boutique events, permits, security…)

Vendors Sourcing and Management

  • Build a strong suppliers strategy: develop a structured and relevant vendors’ pool per types of events/projects/expertise, regularly assess vendors to constructive update and upgrade the pool
  • Ensure contracting, negotiations and compliance for each vendor
  • Train the vendors to be VCA contributors, and develop relationships/partnerships with them for long term collaboration

Visual Merchandising widow animation

  • Work hand in hand with Visual Merchandiser to create immersive window animations within VM specificities (materials used, accessibility to showcases, etc…)
  • Build a clear creative brief together with VM team, and align with HQ

Local Collaterals Production Projects (event concept, invitation cards, e-cards, leaflets, gifts)

  • To create and produce custom made tools for CRM / event activities, gifts and other mailing elements
  • (season greetings, event invitations, brochures)
  • To ensure arrangement of event gifts according to retail team’s needs

Budget Monitoring:

  • In charge of budget from start to end of each project: timely invoice follow up with suppliers, partners and
  • HQ
  • Monthly update of A&P budget per project
  • Control of yearly Retail event budgets with accurate forecasts

 Reports to Communications Manager

  • Weekly Communication review of projects, budgets
  • Analytical and clear post event reports to be shared with HQ and local teams timely
  • Competitive analysis via regular reports to nourish VCA event upgrading, vendors’ sourcing

Team Management:

  • Provide leadership, motivation, direction and support to your team member
  • Train and grow your team to the max potential


Qualifications, Skills and Experience: 

  • The ideal candidate should be a Marketing / Communications / Business graduate
  • At least three to five years of professional event experience and masters project management process.
  • candidate has outstanding ability to multi-task, strong leadership, organizational and interpersonal skills.
  • The applicant should have three to five years of professional event experience
