Job Summary: The Administrative Assistant provides administrative support to a senior team of professionals based primarily in Dubai with relation to day-to-day business activities/events.


Key Duties and Responsibilities:

  • High volume of travel arrangements for Regional Team, including air, rail, car service and hotel and conference registrations, as well as visa processing.
  • Timely and accurate preparation and submission of T&L reports
  • Coordinate customer events/team events (conference coordination, offsite planning, etc.)
  • Manage day to day operations of regional office (office maintenance, housekeeping, security, etc.)
  • Responsible for vendor management for general office services and supplies.
  • The Administrative Assistant will support the on-boarding of new joiners
  • Ensure local entity legal compliance;
  • Create and edit complex Word and Excel documents and PowerPoint presentations with high attention to detail;
  • Tasked with screening telephone calls, enquiries and requests and handling as appropriate
  • Receive/attend to incoming visitors/guests/customers;
  • The jobholder will also invoice processing/receiving/follow up on payments in SSS;
  • Logging tickets for IT assistance ;
  • Perform any other ad-hoc duties which may be assigned from time to time


Qualifications, Skills and Experience: 

  • The GE Capital Administrative Assistant must hold a Diploma
  • At least two to three years of related working experience in a corporate environment.
  • Unrestricted work authorization in United Arab Emirates.
  • Ability to work well in a team environment and to perform under pressure/against tight deadlines.
  • Advanced skills in all Microsoft Office applications.
  • Excellent administrative and interpersonal skills.
  • Previous experience interfacing with senior management and high profile clients.
  • Excellent verbal and written communication skills
  • Professional approach, good judgment, creative problem-solver
  • Highly organized and attentive to detail.
  • Maintain high level of integrity and confidentiality.
  • Ability to multitask and prioritize effectively
  • Highly motivated, confident, able to work without direct supervision.

  • Extensive knowledge of GE policies/procedures.
