Job Summary: The Office Administrator will support BCA operations in the United Arab Emirates. The position is based in Dubai.


Key Duties and Responsibilities:  

  • Coordinates and processes domestic and international travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.
  • Collects and compiles data to provide visibility of status for traveler's review and/or signature.
  • Creates, edits and maintains electronic and written communication.
  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information.
  • Prioritizes and schedules management-level employee time and availability for efficient use of resources.
  • Manage calendars, coordinate meetings, teleconferences, WebEx meetings.
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources.
  • Maintain database of contact people and organizations.
  • Assist with coordination of leases, schools, relocation services, visas and travel.
  • Plans the acquisition and maintenance of resources. Orders and maintains office supplies
  • Manage phone calls and correspondence (e-mail, letters, packages etc.).
  • Provide administrative support for the sales team.
  • Other duties as assigned by management. Duties subject to change per management requirements.
  • Works under general supervision and be flexible with working hours.


Qualifications, Skills and Experience:

  • The applicant must hold a High school diploma; BSc/BA in office administration or relevant
  • Three or more years of related experience.
  • Experience in a similar position(s) and ability to provide professional administrative support to senior management and executives, including maintaining confidentiality, managing priorities, and meeting deadlines.
  • Excellent organizational skills.
  • Ability to Handle Confidential Information.
  • Excellent English language reading, writing and speaking
  • Willingness to learn and apply new skills
  • Ability to work in a diverse environment, with colleagues in multiple time zones
  • Excellent written and oral communication skills are required, as is the ability to work effectively in a virtual environment
  • Proficiency of Microsoft Office applications (Word, Outlook, PowerPoint and Excel).
  • A positive, constructive, and team oriented attitude is a requirement for this position with a high ethical and integrity standard.
