Job Summary: The Personal Assistant will be responsible for assisting the Retail Director & Business Development Director. She/he will also interact among the Retail, Wholesale & Business Development teams to provide best service and secure accurate information among the departments.

 

Key Duties and Responsibilities:  

  • Provides professional support to the Retail Director & Business Development Director to help to make the best use of their time by dealing with secretarial/administrative tasks
  • Prepares presentations, reports and verbal or written correspondence on behalf of the Retail Director & Business Development Director.
  • Coordinates the Retail, Wholesale & Business Development Departments.

Handles secretarial/administrative tasks

  • The Personal Assistant also manages the calendar and independently schedules appointments.
  • Manages emails of Retail Director & Business Development Director (answer, archive).
  • Helps in coordinating the department (vacation, trainings…).
  • Organizes travel requirements for Directors & direct reports.
  • Screens incoming calls and correspondence and responds, independently, when possible.

Prepares documents:

  • Prepares records such as agendas, notices, minutes, and resolutions for corporate meetings.
  • Directs preparation of records such as agenda, notices, minutes and resolutions for meetings.
  • Takes and transcribes dictation compose and prepares confidential correspondence, reports, and other complex documents.
  • Creates and maintains database of files.

Coordinates:

  • Coordinates with Retail, Wholesale & Business Development teams.
  • Arranges programs, events, or conferences by arranging the facilities, the caterer, issuing information or invitations, coordinating speakers, and controlling the event budget.
  • Coordinates with Retail, Wholesale and Business Development departments to ensure effective communication.
  • Manages special projects on behalf of the Marketing and Communication Director.
