Job Title:  Regulatory Affairs Secretary

Job Summary: The Regulatory Affairs Secretary will assist the preparation, submission and maintenance of regulatory files. Will be responsible to provide comprehensive administration support to the department.


Key Duties and Responsibilities:  

  • Prepares correspondence, memo, templates, flowcharts, presentation and other related works.
  • The Regulatory Affairs Secretary prepares CTD Dossier separators, indexes and labels for different countries.
  • Assists the regulatory colleagues in preparing e-CTD, scanning documents, converting application form from PDF to MS Word format.
  • Handles day to day regulatory activity such as receiving mails, memos and distribute information.
  • Prepares regulatory status and reports.
  • Sorts, arranges, fills, and run errands to different departments for signature and follow up and perform other related duties and additional tasks as required.
  • Organizes and coordinates meetings, conferences, travel arrangements.
  • Coordinates the flow of information both internally and external.


Qualifications, Skills and Experience:

  • The Regulatory Affairs Secretary must hold a Bachelor’s degree in Office Administration or any related business courses.
  • At least 2-5 years’ experience
  • Knowledgeable of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Familiar with working on SAP system is preferred.
  • Knowledgeable of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Excellent organizational & time Management skills.
  • Good Service Orientation --- Actively looking for ways to help people.
  • Capable of interacting with different types of people.
