Job Summary: The Receptionist performs various administrative, clerical, data collection, data entry, and report writing tasks. Assignments require a working knowledge of standard Company processes and proficiency in utilizing related PC software.
Key Duties and Responsibilities:
Responsible for greeting visitors. Maintains visitor sign-in book.
Answers incoming calls, screens callers and directs calls accordingly. May take and relay messages as necessary.
Maintains the Corporate Directory. Updates phone numbers and location of the staff.
Originates correspondence and reports not requiring the personal attention of immediate supervisor.
Receives and logs incoming parcels and takes care of outgoing parcels.
The Receptionist receives, sorts, and distributes mail.
May coordinate physical space requirements for the assigned unit. Initiates requests for PCs and telephones.
Maintains and updates information on Safety and Employment/Labor Relations bulletin boards.
Acts as Emergency 911 Desk Respondent.
Encourages safe and secure work environment and practices.
Adheres to corporate security standards and policies.
Coordinates office supply order and distribution.
The Receptionist also coordinates conference room schedules.
Coordinates and/or schedules any special conference room requests (i.e. projectors, video teleconferencing, easels, catering, etc).
Maintains appearance of conference rooms/break areas/common areas.
Processes OCR’s for vendor invoices and submits for payment.
Attends scheduled facility team meetings and assists with facility project work.
Perform other responsibilities associated with this position as may be appropriate.
Qualifications, Skills and Experience:
The Receptionist must be a Diploma holder.
At least two years of experience in a good organization in the UAE.
Good written and oral communication skills in English. Spoken Arabic will be an advantage.
Good organizational and interpersonal skills.
Proficiency in the use of computer and MS Office, particularly Word and Excel.
