Job Summary: The Document Controller will provide all the necessary document / data maintenance support to the Projects team and manage all the administrative responsibilities as functionally required.
Key Duties and Responsibilities:
Manage documentation system for efficient and orderly storage and retrieval of drawings/documents and other information. Maintain and update all necessary records, files and database
Collate data and maintain Site Status Reports with all the necessary updates with the ongoing projects in Microsoft Excel/ MS projects
Receive tender documents and material specifications from the Project Mangers and examine the requirement. Coordinate with the client / consultant on clarifications
Prepare a detailed comparison of the quality of the items and the price quoted by suppliers, obtain approval from the project managers and raise purchase orders on the most cost effective and viable supplier
Assist with the preparation of LPOs and follow up with suppliers for the timely delivery of goods as per terms and conditions indicated on the purchase orders
Update Financial Status Reports as to keep a regular track of actual expenses vs. Budgets and report variations, if any, at every stage of projects
Distribution of relevant reports to different divisions like Design/ contractor and update them with projects project progress/ status
